A Delivery Receipt Is the Only Thing That Proves It Arrived

Almost every delivery dispute comes down to the same question, asked weeks later: did this actually get there, and in what condition? A tracking number answers the first half at best. It does not record who signed for the goods, what state they were in, whether anything was missing, or what the customer agreed to at the door.

That gap is where the money goes. A customer claims a parcel never arrived and the courier carries the cost. A moving company is accused of damaging a table that was already scratched. A restaurant is charged back for an order the driver left with a neighbour. In each case the paperwork decides it, and a delivery receipt with a signature, a time and a condition note is the paperwork.

What Every Delivery Receipt Should Include

  • Your business details — name, address, phone and any operator or carrier licence number.
  • Sender and recipient — both, with a contact number. On a delivery these are rarely the same person, which is exactly why disputes happen.
  • A reference number — order, consignment or job number, so the receipt can be tied back to your own records.
  • Date and time of delivery — not just the date. Time is what settles “it was never delivered” arguments.
  • The driver — whoever actually handed it over.
  • What was delivered — items, quantity and weight where relevant.
  • Charges, itemised — the delivery fee, any service or fuel surcharge, waiting time and the goods themselves shown separately.
  • A signature — the single most valuable field on the document, and the one most often skipped.
  • Condition notes — anything already damaged, missing or substituted, recorded at the point of handover rather than remembered afterwards.

Moving Company Receipts

Removals sit awkwardly between a service and a delivery, and the paperwork has to do both jobs. The customer is buying labour and transport, but they are also handing over possessions and expecting them back intact.

A moving company receipt should therefore show the charge basis plainly — hourly with crew size, a flat rate for the job, or a rate by volume or distance — and separate that from extras like packing materials, stair or long-carry charges, storage and waiting time. Those extras are the usual source of argument, and an itemised moving receipt ends the argument before it starts.

International Shipping and Customs

Cross-border consignments need two things a domestic receipt does not: the carrier handling the shipment, and a declared value for customs. The International Shipping template includes both, alongside weight and the standard sender and recipient details.

Declared value should reflect what the goods are genuinely worth. It is what duty is assessed on and what any insurance claim is settled against, so understating it to reduce duty tends to be a false economy the first time something goes missing.

What is the difference between a delivery receipt and a proof of delivery?

In practice very little — both confirm goods reached the recipient. A proof of delivery usually emphasises the signature and the time of handover, while a delivery receipt also itemises what was charged. The templates here cover both, since the same document usually has to serve both purposes.

Can I capture a signature on the receipt?

Do I need a delivery receipt if the parcel has tracking?

Tracking shows a status, not a handover. It does not record who received the goods, what condition they were in, or what was agreed at the door. For anything valuable, fragile or disputed, tracking on its own is thin evidence.
