What Every Repair Receipt Should Include
A repair receipt has to answer more questions than an ordinary sales receipt, because the transaction is a service rather than a product. At minimum, include:
- Your business details — name, address, phone, email and any trade registration or licence number.
- The customer and the location — who paid, and where the work was carried out, which are often different for rental property.
- The fault — what was reported, and what you actually found. These are not always the same thing, and the difference matters if the job is questioned later.
- The work performed — described plainly enough that someone who was not there can follow it.
- Parts, listed separately — with quantities and unit prices. Bundling parts into a single figure is the most common cause of disputes.
- Labour — hours and hourly rate, or a flat fee, shown as its own line.
- Serial, model or IMEI numbers — essential for any warranty claim on the part or the device.
- Warranty terms — how long your work is guaranteed for, and what that guarantee covers.
- Payment method and date — and a clear total.
Home Repair Receipts for Owners, Landlords and Tenants
Home repair receipts do more work than most people expect. A homeowner building a file of maintenance records makes a property easier to sell, because a buyer’s surveyor asking about damp, wiring or the age of the boiler can be answered with paperwork instead of recollection. A landlord needs to show that a reported fault was dealt with promptly and properly, which in a deposit dispute or a habitability complaint is often the whole case. If you carry out repairs as a business, receipts are simply your income record, and you will want them itemised and sequentially numbered.
For property owners the position is more nuanced, and the distinction that usually matters is between a repair and an improvement. Broadly, work that restores something to its previous condition tends to be treated differently from work that upgrades or extends it — and the description on your receipt is often what the distinction turns on. A receipt reading “replaced failed water heater” tells a very different story from “installed new heating system”, even where the invoice total is identical.
Rules vary by country and by circumstance, so treat this as a reason to keep clear, specific receipts rather than as tax advice. Can I write a repair receipt by hand?
You can, and a handwritten receipt is legally valid in most places. The practical problem is legibility and completeness: handwritten receipts tend to omit serial numbers, warranty terms and the parts-versus-labour split, which are exactly the details a warranty claim or a dispute depends on. A generated receipt also gives you a copy you can reproduce if the customer loses theirs.
Is a repair receipt the same as an invoice?

What should I put if I diagnosed a fault but did not repair it?
